4) Purpose of the treatment
This section reports the various processing purposes divided by web services and services provided directly at the Monica Luxury House.
4.1) For website navigators
The personal data provided voluntarily and optionally by users who forward requests to receive information on the services of the accommodation facility (prices, availability of rooms and conference rooms, etc.), are used for the sole purpose of performing the service or provision requested and are not communicated to third parties unless the communication is imposed by legal obligations or is strictly relevant and necessary for the fulfillment of the requests.
In particular, the personal data provided voluntarily by the data subjects will be collected electronically and processed, also with the aid of electronic means, directly and/or through delegated third parties (e-mail service companies, website hosting companies) for the following purposes:
- To be contacted by the staff of Monica Luxury House via email for the management of explicit requests or clarifications entered in the “what can we do for you” field of the “Contacts” section.
- Prepare the provision of services based on the explicit requests entered in the “what can we do for you” field.
The processing of the personal data in question may include the management of sensitive data such as requests for rooms for the disabled or special dietary requirements, communication of food allergies, requests for hypoallergenic pillows or sheets, etc. - Verify the availability of the requested room based on the anonymous information entered such as the type of room, arrival date, departure date, and subsequently to finalize the purchase of the service by providing your common data such as name, surname, email address, telephone and credit card details; allow the booking to be made and confirmed by providing your credit card details as a guarantee.
- Anonymous statistical purposes (to evaluate the number of accesses, etc.).
In particular, the details of the credit card holder provided as a guarantee will be processed for the following purposes:
- For entering customer data into the company information system.
- For issuing invoices and fulfilling administrative, accounting and tax obligations.
- For the management of collections and payments.
- To apply the penalty in case of cancellation of the reservation.
4.1.1) Navigation data
The computer systems and software procedures used to operate this website acquire, during their normal operation, some personal data whose transmission is implicit in the use of Internet communication protocols.
This is information that is not collected to be associated with identified interested parties, but which by its very nature could, through processing and association with data held by third parties, allow users to be identified.

No personal data of users is acquired by the site in this regard.
Cookies are not used for the transmission of personal information, nor are so-called persistent cookies of any kind used, i.e. systems for tracking users.
The use of so-called session cookies (which are not stored persistently on the user’s computer and vanish when the browser is closed) is strictly limited to the transmission of session identifiers (consisting of random numbers generated by the server) necessary to allow safe and efficient exploration of the site.
The so-called session cookies used in this site avoid the use of other computer techniques potentially prejudicial to the privacy of users’ browsing and do not allow the acquisition of personal data identifying the user.
4.1.4) Optional nature of data provision
Apart from what is specified for navigation data, the user is free to provide personal data in the various information request forms to Monica Luxury House.
The provision of personal data and the related consent to processing are necessary to be able to use the services offered.
Failure to provide data, lack of consent or subsequent revocation may make it impossible to obtain what is requested.
4.1.5) Processing methods
Personal data are processed in paper format and/or with automated tools for the time strictly necessary to achieve the purposes for which they were collected.
Specific security measures are observed to prevent data loss, illicit or incorrect use and unauthorized access.
We inform you that, to provide a complete service, there are links to other websites managed by other owners. We decline any responsibility in case of errors, contents, cookies, publications of immoral or illicit content, advertising, banners or files not compliant with current regulations and the respect of Privacy regulations by sites not managed by Monica Luxury House to which reference is made.
4.1.6) Revoke Privacy

Booking data will be processed electronically and on paper to guarantee the booking of the room(s) at the agreed conditions.
The data will be recorded in our electronic databases accessible to personnel duly appointed and instructed in the field of security and confidentiality of personal data.
To confirm the reservation, a credit card given as a guarantee will be necessary, without prejudice to the fact that the customer may decide to pay in cash at the end of the stay.
Should the sale of the service be formalized using the customer’s email address, Monica Luxury House may possibly record the customer’s email address in its newsletter and send emails of a commercial and promotional nature, always guaranteeing the customer’s free exercise of cancellation from the newsletter starting from the first email sent.
4.3) Newsletter
The sending of promotional and commercial material can be handled directly by Monica Luxury House.
Monica Luxury House can register the data subject in the newsletter if:
- The data subject has expressed written consent during the booking confirmation phase or in the company’s contractual forms (for convention, agency, congress contracts and general sales of the facility’s services).
- The data subject has given written consent during the check-in phase in the identification notification form.
- The data subject has purchased the service of the facility using their email account and has not expressly exercised the right not to receive promotional and commercial material.
The data subject has the right to exercise the right of cancellation from the newsletter at any time pursuant to GDPR UE 679/2016.
4.4) Check-in procedure and transcription of the customer’s details in the notification form
Italian legislation requires the customer’s details to be recorded upon arrival at the Hotel in a notification form which must be transmitted to the Public Safety authorities within the following 24 hours.
Monica Luxury House fulfills this obligation by transmitting the details of its welcome guests in electronic format to the competent Police Headquarters.
Furthermore, to guarantee the free exercise of the right of choice for those treatments whose nature of provision is not mandatory, Monica Luxury House asks the customer, when recording their details in the notification form, for the following consents in compliance with the procedures:
- Authorization or denial of external communication of data relating to the stay and of their family possibly following, for the exclusive purpose of allowing the reception function for messages, mail and phone calls addressed to them.
- Authorization or denial of the storage of the customer’s personal data in order to speed up registration procedures in case of future stays. The procedure in question manifests itself by avoiding automatic printing of the customer’s data in the notification form, re-transcribing all their data upon check-in (the document will still be requested in both cases).
- Authorization or denial to send to the customer’s home and also transmit via email, periodic documentation on updates of rates and offers practiced by the Hotel and to transmit the customer satisfaction questionnaire via the email service.
Should the customer refuse to provide their details upon check-in, Monica Luxury House will not be able to accommodate them at the facility.
The customer’s personal data provided during Check-In will be processed by internal Monica Luxury House personnel, appointed to process and appropriately instructed in the field of security of personal data and the right to privacy, and may be communicated to:
- Public Entities or Offices in function of legal and/or contractual obligations.
- Competent authorities for the obligation of guest registration.
- Debt collection companies and banking institutions for the management of collections and payments deriving from the execution of services rendered.
- Third-party suppliers (rental companies, etc.) to satisfy the provision of services requested by the customer; e) any consultants and external companies specifically appointed who carry out accounting, tax and tributary consultancy activities on our behalf.
It remains the customer’s free prerogative to exercise their rights by contacting the Data Processor represented by Monica Luxury House.
5) Rights of data subjects
The subjects to whom the personal data refer have the right at any time to obtain confirmation of the existence or otherwise of the same data and to know its content and origin, verify its accuracy or request its integration or updating, or rectification.
Pursuant to the same article, one has the right to request deletion, transformation into anonymous form or blocking of data processed in violation of the law, as well as to oppose in any case, for legitimate reasons, to their processing.
Requests should be addressed to the Data Processor.
6) Privacy Policy Update
This document, published on the site https://www.monicaluxuryhouse.com constitutes the “Privacy Policy” of Monica Luxury House, has been updated to the new GDPR directives and may be subject to updates.
